Editorial illustration, not a product screenshot or visit photograph.
An image can be small enough to send and still be too blurry to use. The aim is not the smallest possible file: it is a file that preserves the details your reader needs at an appropriate size. Start with the purpose of the image, then change one setting at a time.
Decide which detail must survive
A holiday photo, a screenshot of a receipt and an illustrated diagram have different requirements. Identify the smallest text, important edge or subtle detail that must remain visible. Keep the original file so you can return to it if an export removes too much information.
Crop genuinely unnecessary space before reducing everything. Cropping can remove unused borders while leaving useful text at its original resolution. Do not crop out context needed to understand a document or claim.
Resize in controlled steps
Check the dimensions in pixels. If the image is much larger than its intended display, make a copy at a suitable width while preserving its aspect ratio. Review that copy at the size your recipient will actually use.
Upscaling a small image does not recover detail that was never recorded. Repeatedly saving a lossy image can also degrade it. Work from the original and create a fresh export for each comparison rather than recompressing the previous small copy.
Choose an appropriate export format
PNG is often a useful choice for sharp screenshots and line art; JPEG is commonly used for photographs. WebP supports modern compression options, but compatibility with the recipient’s app still matters. Format choice alone does not guarantee a good result.
- Export a copy in a format your recipient can open.
- Compare file size and visible detail with the original.
- Zoom in on the smallest important text.
- Open the final file in another app or device if practical.
Protect private details before sharing
Check whether the picture contains personal information, location information or details in the background. Use a suitable redaction method rather than assuming a light blur is sufficient for sensitive text. For a screenshot, consider whether a carefully prepared new image can avoid exposing those details altogether.
A smaller export is useful only if it remains accurate and readable. Record the dimensions and export settings that worked for your task so the next image needs less trial and error.
